For safari operators in Kenya

Run more safaris. Without drowning in the admin.

Price lists, option requests, vouchers, payments, e-TIMS. If you run trips out of Excel and your inbox, a quiet engine can do that legwork for you. Your spreadsheet stays. The busywork goes.

Two of you, 70-plus safaris a year, and it all lives in Excel and your inbox.

The craft of building the trip is yours and stays yours. It is the work around it that eats your week. If any of this sounds familiar, that is exactly the part this takes off your plate.

Typing lodge price lists into Excel by hand, one supplier at a time
Chasing which lodge has confirmed an option, and which is about to expire
Building vouchers and invoices by copy-paste from Outlook and Excel
Keeping payments, cheque runs and KRA e-TIMS receipts straight
Never quite knowing, at a glance, where each safari stands
How it works

A smart engine under the way you already work.

Week 1

Your spreadsheet stays

We move your setup into Google Sheets with the same logic, cleaned up. No new system to learn, no rebuild of how you work.

Week 2 to 4

AI does the legwork

Reading price lists, chasing confirmations, building documents, tracking payments. The work around the spreadsheet, handled.

Ongoing

You stay in control

Everything the system does shows up in the sheet. No black box. You see it, and you can correct it yourself.

What it does

Five modules. Each one works on its own.

Start with one, add the rest when you are ready. Pick the piece that costs you the most time first.

01

Price-list engine

Lodge price lists land in your inbox. The system reads them into one central rate sheet, seasons, room types and park fees included. No more typing in 300 suppliers by hand.

02

Booking flow & options

New enquiries become a safari in your overview. Send option requests to every supplier with one click, and the system tracks who confirmed and which option is about to expire.

03

Payments & e-TIMS

One payment overview per safari. Export an I&M bulk file or work it as a cheque list, and the system chases suppliers for the e-TIMS receipts you are still missing.

04

Vouchers & invoices

Supplier vouchers, guest vouchers and client invoices as clean PDFs in your own house style, generated straight from the safari row.

05

One dashboard

Every live safari, its status, every deadline, and one clear list of what is on you right now. On laptop and phone.

Who builds it

Built by Justus Fokker, a Dutch software developer based in Nairobi. Before this, he built the lead and automation engine behind De Zaak, a platform serving 144,000 businesses.

See it on your own data

Send me one lodge price list. I will show you the system reading it.

One recent price list is enough. Within a few days you see it read into a live rate sheet, on your own numbers, before you decide anything. If it is useful we talk. If not, you have lost five minutes.

Modular, so you start with the one piece that costs you the most time. You own everything: your environment, your data, the source code, with a full handover.

Questions

The honest answers.

Do we have to switch systems?

No. Your spreadsheet stays the base. The system sits underneath it and does the legwork. Nothing to migrate, nothing new to learn.

Does it work offline, out in the bush?

Google Sheets works offline on laptop and phone once set up, and syncs the moment you are back on wifi or 4G. The system also makes a daily backup, so you always have your own copy.

Who owns it?

You do. Your own environment, your data, the source code and the documentation, with a handover clause so any developer can take it over. You are never locked to me.

What about KRA e-TIMS?

After a payment, the system asks the supplier for the official e-TIMS receipt, chases them if it stays out, and shows you exactly which receipts are still missing.

Will it email my guests?

No. The system reminds you, it does not message your guests for you. Guest contact stays personal and yours. It only chases suppliers.

How fast do I see something?

Send me real data and you see a first working version of a module within a week, running on your own price lists. The time after that is testing and fine-tuning to how you work.
